What's happening in project tracking
Any project coordinator works with four elements: expenditure, schedule, time and producing a satisfactory result. A bit more challenging objective is to optimize work organization and resource attribution. Most undertakings employ such recourses as people, money, and tools to produce something of value and meet objectives. To manage projects successfully one have to deal with several things. Some of them are listed in the next paragraph:
- Task setting and reviewing achievement.
- Handling risk. The majority of projects feature a certain degree of risk.
- Assigning and supervising resources.
- Understanding the product you wish to get on completion of the project.
- Supervising the project in terms of who is performing what and at what time.
- Managing quality.
- Managing changes. Circumstances change. Most projects develop in time, so the element of change should be properly considered.
- Communicating with sponsors and participants of the project.
To handle these elements you can use pencil and paper or probably MS EXCEL. However, specialized project tracking software has a lot of relevant benefits:
- It simplifies scheduling. The software can automate timing adjustments. Each resource can have their own time-table. Managing progress also becomes easier to manage.
- Dealing with a number of projects and meeting a number of specifications. Progress management software helps project executives to seea bigger picture and collect data on several projects.
- Critical path becomes clearly visible. The critical path is a primary notion in project planning. Should an activity on the critical path change duration, the whole project is going to be touched by this change. Whereas other activities that lie outside the critical path might last longer or shorter and not change the timing of other activities in this project.
- Distributing information to project participants. Big projects require information exchanges. Groupware productivity tracking software allows everybody to be on the same page at any given point in time.
Should you always choose task tracking software?
Like any software solution, project management software has its limitation. It produces the greatest value when used for a number of big projects. Little projects can be supervised using a spreadsheet program which helps you save on overhead costs of handling such complex software.
